Expediting is an essential part of any order and plays a vital role in the smooth running and successful completion of projects within a scheduled timeframe. It helps ensure that vendors deliver orders to clients on time through timely follow-ups on production progress, avoiding unexpected delays, and analyzing any difficulties to take swift recovery actions

FIELD EXPEDITING

Field expediting is performed to ensure or evaluate the authenticity of information obtained through desk expediting. An assigned expeditor physically visits the vendor premises to discuss all issues, status, progress, and verify/ensure the accuracy of the provided information. If any anomalies are detected, they will be discussed to develop appropriate recovery plans to overcome the problem. The details of each visit are reported upon completion, and a closeout call is provided to the client before leaving the premises.


Field expediting can be categorized into two types: periodic and full-time. Periodic expediting involves intermittent visits to the vendor location to monitor progress and address any issues. On the other hand, full-time expediting at the vendor location becomes necessary for critical projects or those requiring strategic management to avoid possible delays (such as the Fast Truck Project), implement recovery plans, keep the project on track, or prevent further inconveniences. The decision to deploy full-time expediting needs to be agreed upon with the client, based on the results from desk and periodic expediting reports

DESK, PHONE EXPEDITING

Desk/telephone expediting is a valuable tool for monitoring the progress of order completion. Through this method, contacts are established at specific milestones in the fabrication process, and a summary of the status is obtained. An experienced expeditor can assess whether the order completion is progressing according to plan or if additional measures are required to verify and possibly improve work progress.


Desk/telephone expediting works best as a supplement to field expediting. It serves as a useful way of keeping the vendor aware that any delays on the order will not be accepted by their client. By maintaining regular communication and providing updates, desk/telephone expediting helps ensure a smooth and timely completion of the order.

Full-time monitoring and project coverage activities offer clients continuous and in-depth progress information. With a dedicated expeditor assigned to the task, immediate action can be taken as soon as problems are detected, ensuring that schedules are maintained in line with the relevant project planning. Whether it is for an individual order or a specific project, the dedicated expeditor will directly liaise with the client, establishing an effective line of communication.


This approach allows for proactive management, facilitating prompt decision-making and problem-solving to minimize any potential delays or disruptions. By providing ongoing support and coordination, full-time expediting ensures that the project stays on track and meets the client's expectations.

SERVICES EXPEDITING PROJECT COORDINATION & MANAGEMENT

When the entire project supplies or a part of it is assigned, and multiple expeditors are involved in field, desk, and/or full-time monitoring expediting activities, expediting coordination and management services are provided to the client. This ensures effective oversight and control of the project's progress.


The Agency Project Expediting Coordinator (APEC) and/or Project Supplies Chain Manager (PSCM) join the Project Task Force wherever it is based, whether at the client's facilities or agency facilities. These specialized personnel are appointed based on client request and may not be directly linked to project awarding.


The APEC and PSCM play crucial roles in coordinating the expediting efforts, ensuring smooth communication between different expeditors, and managing the overall expediting process. Their involvement helps to streamline operations, address any issues promptly, and maintain project timelines.
